Facilities Coordinator / Facilities Assistant



As the new Facilities Coordinator / Facilities Assistant you will be responsible to provide professional and efficient client reception as well as facilities service.



The role:

As a Facilities Assistant you will alongside - 3 other colleagues - cover the Reception and all Facilities Duties from 8:00am – 6:00pm, Monday – Friday. Your daily responsibilities will include but not be limited to the following:

  • Welcoming clients and visitors to the office
  • Processing incoming and outgoing phone calls, mails, deliveries, couriers
  • Manage office supplies, equipment , stationary
  • Manage meeting (booking rooms, catering, materials)
  • Concierge tasks such as taxi and limousine bookings
  • Vendor management (cleaning, catering, sub-constructors )
  • Manage planned and reactive maintenance works
  • Maintain reports, audits requirements, site operation files
  • Compliance : Health, Safety and Environment
  • First Aid, Security and Fire Safety
  • Support office refurbishments, moves and relocations
  • Further admin and data collection tasks

As a person you:

  • are customer service focused
  • are result driven
  • have drive, ability to work well under pressure, to prioritise, plan ahead and achieve deadlines
  • have a proven ability to inspire and motivate others and strong co-operation skills
  • you have ideally 2 years experience in working as an assistant or administrator in a busy corporate environment
  • Facilities Management experience would be a distinct advantage
